Loyalty program
Goal
Switch on the loyalty points program for your store, set the earning and redemption rules, and enrol and look up loyalty members so points attach to the right customer at the till.
Where this happens
- In the back office (Core App): Add-ons & Integrations → Loyalty Setup (program rules); the Loyalty Customers screen (enrol and look up members) is part of the loyalty add-on.
- On a Standard till (Retail POS App or Restaurant POS App): the till reads the Loyalty Setup rules when points are earned and redeemed on a sale.
Loyalty has three numbers that work together: the minimum sale value before points can be redeemed, the percent of each sale awarded as points, and the cash value of a single point.
Problem
You need to switch loyalty on with the right rules, and get customers enrolled so their points follow them across the till.
Prerequisites
- Sign in to the Core App first — see Login. You land on the dashboard after choosing your store.
- Needs the right user permission. These menu items follow your user's permissions. If the item shows a restriction marker - or clicking it does nothing - your user does not have permission yet. Ask your franchise admin to grant it (see Who can do what (permissions)).
- The loyalty add-on is activated for your store — if you do not see Loyalty Setup, ask Support to switch it on.
- You have the customer's permission to create or find their record.
Steps
Set up the program rules
- In the sidebar, open Add-ons & Integrations → Loyalty Setup. The Loyalty Setup screen shows the current rules — or a note that no settings exist yet for this store.
- Set Minimum Value — the smallest sale a customer must spend before points can be used as payment (for example,
100means points can only be redeemed on sales of ZMW 100 or more; set0to allow redemption on any sale). - Set Percentage value — the percent of each sale awarded as points (for example,
5means a ZMW 100 sale earns 500 points). - Set Point Value — the cash value of one point, in cents (for example,
1means 1 point is worth ZMW 0.01). The till works points out as: points = (sale amount × percentage × 100) ÷ point value. - Click Create Settings the first time (or Update Settings when the rules already exist).
- Wait for the confirmation — "Loyalty settings saved successfully!" — then click OK.
Enrol a customer
- Open the Loyalty Customers screen.
- Click the floating + button to open Add Customer to Loyalty Program.
- Fill in the form:
- Loyalty Card Barcode — scan or enter the card's barcode.
- Customer Name (required), Customer Surname.
- Contact number and Email as the customer agreed to share.
- Save the form. The customer is now a loyalty member.
Look up a member and check their balance
- On Loyalty Customers, type the customer's name, surname, contact number, or email into the Customer search box.
- Click Search Customers and pick the member from the Customers (N Found) list — each entry shows their Points balance and the cash Value of those points.
- Click the member to open their card, which shows Total Points: and Points in cash:.
- Use View Customer to correct the member's details if they change.
Expected result
- The store's rules are saved — "Loyalty settings saved successfully!" — and the till applies them from the next sale.
- Enrolled customers have one loyalty record with a card barcode.
- Searching a member shows their points balance and its cash value at any time.
- At the till, a member's sale earns points once the sale meets the rules you set.
Edge cases
- You do not see Loyalty Setup in the sidebar. The loyalty add-on is not activated for your store yet — ask Support to switch it on.
- The settings were wrong and sales already ran. Correct the numbers and click Update Settings — the till reads the new rules from the next sale.
- A duplicate customer appears. Stop and ask a supervisor to merge or correct records; do not create another membership.
- The balance looks wrong. Check the member's recent sales and balances on their card, then report it to your supervisor — there is no manual point correction on these screens.
- The customer cannot redeem. Check the Minimum Value rule — points can only be used as payment once a sale reaches it. Explain the rule; do not promise a redemption the system will not apply.
