Device limits
Goal
Check how many devices your store has registered, set a sensible cap so a cashier is not locked out, and free a slot when a device is replaced or retired.
Where this happens
- In the back office (Core App): device registration and per-store / per-device caps are managed at the franchise level — the live Core App dashboard does not show a dedicated Device Limits page. The Wiki groups this under 'Administration' because only the franchise admin and supervisor need it.
The franchise admin sets the caps. The supervisor reviews the device list when a cashier cannot sign in. Cashiers do not see this screen.
Prerequisites
- You are signed in as a franchise admin or supervisor with the right permission.
- You know the per-device and per-store cap you want to set (or the existing cap your franchise owner approved).
- You have the device name, type, and PIN or user for any device you want to free.
Steps
1. Open Device Limits
- In the back office, the registered devices for your store, the per-store cap, and the per-device cap are managed at the franchise level — contact your franchise admin or Support if a device needs to be registered, freed, or capped.
2. Set the per-device and per-store caps
- Click the Per Store Cap field and enter the maximum number of devices one store can register.
- Click the Per Device Cap field and enter the maximum number of stores one device can be registered to.
- Match the caps to your franchise owner's policy. Do not raise a cap on your own — too high a cap lets a lost device sign in to multiple stores.
- Click Save.
3. Free a slot when a device is retired or replaced
- Find the device in the list. Search by device name, type, or registered user.
- Click the device row to open its registration record.
- Click Free Slot or Remove Device.
- Confirm the action. The slot is back in the pool for the next device to register.
If the device was lost or stolen, free the slot and tell the franchise owner right away so the device cannot sign in.
4. Verify the counts
- Reopen the device list (with your franchise admin or Support) and confirm the registered count, the cap, and the free slots match what you set.
- Have a till sign out and back in to confirm the device count refreshes correctly.
- If the count is wrong, refresh the screen or sign out and back in to clear the cached count.
Expected result
- The per-store and per-device caps match the franchise owner's policy.
- Retired or replaced devices no longer appear in the registered list.
- A freed slot is available for the next device to register.
- Cashiers can sign in on the active till without hitting the device cap.
Edge cases
- The cashier is locked out because the cap is full. Free a retired or duplicate device first. If you cannot free one, raise a ticket before raising the cap — the cap is there for safety.
- You cannot find the device to free. Search by the user's name. If still nothing, the device may be registered to another store; ask the franchise admin to check.
- The cap change goes to the wrong store. Stop and tell the franchise owner. Do not roll back without approval — other stores may already have signed in.
- A lost device is still in the list. Free the slot and tell the franchise owner. The device may still be able to sign in until the device token is revoked server-side; raise an urgent ticket if the device held sensitive data.
- The count does not refresh. Sign out and back in. If the count is still wrong, raise a ticket with the store, cap, and current count.
